Overview

The Jackson County Community Care Portal (“the portal,” “we,” or “us”) connects residents of Jackson County, Ohio, with local assistance and resources. This Privacy Policy describes how we collect, use, and protect your personal information when you use this portal.

Information We Collect

When you submit a request through the Community Care Portal, we collect:

  • Your name, email address, and phone number
  • A description of the assistance you are seeking
  • The category of assistance needed
  • Your ZIP code, or a note that you are in or near Jackson County if you do not know it

When you offer to help through the Community Board, we collect your name, email, phone number (optional), and a brief message describing how you can help.

How We Use Your Information

Your personal information is used to:

  • Connect you with appropriate local resources and services
  • Enable portal staff to review and manage assistance requests
  • Communicate with you regarding the status of your request
  • Match volunteer help offers with community requests
  • Improve our services and community outreach

Information Sharing

Your contact information is only accessible to authorized portal staff members. It is never displayed on the public Community Board. Staff review every request and may share some requests on the Community Board so neighbors can help. When a request is shared, only the category and description are shown, never your name, email, phone, or other identifying information.

We do not sell, trade, or rent your personal information to third parties. We may share information with partner organizations only as necessary to fulfill your assistance request, and only with your knowledge.

Data Security

We implement appropriate technical and organizational measures to protect your personal information against unauthorized access, alteration, disclosure, or destruction. Data is transmitted using industry-standard encryption (TLS/SSL) and stored in secure, access-controlled databases.

We also take an automated backup of the portal database once a day so that information can be recovered if a system failure occurs. Backups are encrypted before they leave our systems and are stored in access-controlled cloud storage located in the United States. Only authorized personnel can restore from a backup.

Data Retention

We retain your personal information only for as long as necessary to fulfill the purposes for which it was collected, including to satisfy legal, accounting, or reporting requirements. Resolved requests are retained for up to two years for record-keeping purposes and may be anonymized thereafter.

If you ask us to delete your information, it is removed from the live portal right away. Copies may remain in our encrypted backups for up to 31 days, after which those backups expire automatically.

Your Rights

You have the right to:

  • Request access to the personal information we hold about you
  • Request correction of inaccurate information
  • Request deletion of your personal information
  • Ask us to remove your request from the Community Board

To exercise any of these rights, email us at help@jacksoncountycare.org or send us a message.
